Privacy Policy

1. What this policy covers

This policy applies to the Youdian website and to the Youdian product and related services during the private beta (together, "Youdian" or the "service").

If your organization has signed a separate commercial contract or data processing agreement with us, and its terms conflict with this policy, that contract prevails.

Youdian is currently in MVP private beta. This is a beta version of the policy; before general commercial availability we will update it and post the update on this page.

2. What information we collect

Information you provide directly:

• Trial / demo requests: name, contact details (phone, WeChat, or email), company name, team size, and the problem you want to solve;
• Account information: login credentials, team and member settings;
• Records of your communications with us: emails, user group messages, and posts and comments in the feedback community.

Content you enter while using the product ("customer data"):

• WorkLog voice and text records, and uploaded files (PPT / PDF, etc.);
• The entities, backlinks, customer profiles, knowledge cards, answers, and predictions generated from that content.
• Customer data belongs to you or your company; we process it only on your instructions and only as necessary to provide the service (see Section 9).

Information collected automatically:

• Access logs: IP address, browser type, pages visited, and timestamps;
• Website traffic analytics: anonymous, aggregated data that is not used to identify you personally.

3. How we use this information

To provide and maintain the service: transcription, entity recognition, automatic backlinks, customer profiles, knowledge cards, AI answers and predictions — this processing is based only on your team's own data and serves your team.

To handle your requests: onboarding you to the beta, scheduling product demos, and responding to inquiries and feedback.

To improve the product: optimizing features and experience based on aggregated, de-identified statistical analysis.

For necessary notices: important information such as version updates, security incidents, and changes to our agreements.

We do not sell your personal information or customer data, nor use it for purposes unrelated to providing the service.

4. Specific notes on AI processing

Youdian's core capabilities are AI-driven. Regarding how AI uses your data, we commit that:

• The profiles, predictions, and answers AI generates serve only your team's workspace;
• Your customer data is not used to train general models that serve other customers;
• AI output carries source citations wherever possible, so you can trace and verify against the original records.

5. Data storage and security

• Data in transit is encrypted with HTTPS / TLS;
• Uploaded files are stored with encryption at rest; WorkLog source text uses field-level encryption;
• Internally we apply least-privilege access control; the enterprise edition supports access-log auditing.

The website hosting and traffic analytics are provided by third-party cloud vendors, and the relevant servers may be located outside mainland China; the specific storage location and cross-border arrangements for customer data in the product are governed by the formal service agreement and in-product notices.

If a data security incident occurs that may affect your rights, we will notify you promptly as required by law and report to the regulators.

6. Sharing and entrusted processing

We do not sell your information. We share it or entrust its processing only in the following cases:

• with your explicit consent;
• as required by laws and regulations, regulatory requirements, or judicial process;
• with vendors necessary to provide the service (such as cloud infrastructure and speech transcription), whom we bind by contract to process only as necessary and to bear confidentiality and security obligations.

In team collaboration, the content you enter is visible to administrators and relevant members according to your team's permission settings — customer assets accrue at the company level, which is part of the product design.

7. Data retention and deletion

• While your account is active, we retain your data on an ongoing basis; you can export it at any time;
• Within 30 days after account closure or service termination, you may still request an export; after that period we will delete or anonymize the data, except where laws and regulations require otherwise;
• Trial request information: if service is not ultimately activated, we retain it for up to 12 months for follow-up communication, and you may request deletion at any time during that period.

8. Your rights

Under the Personal Information Protection Law and other laws and regulations, you have the right to:

• access and copy your personal information;
• correct and supplement inaccurate information;
• delete personal information, withdraw consent, and close your account;
• export your customer data.

To exercise these rights, contact us through the channels in Section 13; we will respond within 15 business days.

9. Information about others that you enter

When using Youdian, you will record information about others — customers, contacts, and so on — in WorkLog and your materials. For this information:

• you and your company are the controllers; please ensure that recording it has obtained the necessary authorization or another lawful basis;
• we act as the entrusted party, processing only on your instructions and providing the safeguards described in this policy;
• if we receive a rights request from an individual concerned, we will forward it to you to handle, or cooperate as required by law.

10. Cookies and local storage

The website uses necessary local storage to keep basic functionality working (for example, form input state); traffic analytics use an anonymous approach and no cross-site tracking cookies. You can clear or limit local storage through your browser settings, which may affect some features.

11. Minors

Youdian is intended for business and professional users and is not offered to individuals under 18. If we find we have inadvertently collected a minor's information, we will delete it as soon as possible.

12. Updates to this policy

When we update this policy, we will publish the new version on this page and update the "effective date"; for material changes affecting your rights, we will give separate notice via in-app notification or email.
